We pride ourselves on efficient and effective communication between parents and school. Some of the ways we communicate are highlighted below.
Speaking with form teachers and tutors
Please do not hesitate to find your child’s form teacher before 8.30am. We ask that parents do not enter the classrooms after that time. It is vital that the teacher can settle pupils in quickly and give them their full attention without disturbances when they enter the classroom.
Messages left at the main school office will of course be passed on to form teachers. The most suitable time to discuss matters with staff is after school. Please contact staff directly via email to arrange a mutually convenient time.
Form teachers will always respond to emails but this may take up to 24 hours due to their daily teaching commitments. If you have an urgent email which needs attention that day please cc to email@example.com as well as to the form teacher.
Copthill use ParentMail (PMX) to communicate with parents. This service is to provide you with up-to-date and important school information. All letters and the majority of communications are sent home this way.
All parents should ensure that we have your current email address and mobile telephone number. We also use PMX ‘forms’ to enable you to reply to permission requests for outings etc.

Blogs (Early Years, Yr1, Yr2, Yr3 and sport)
The blogs are an informal way for parents to receive news and pictures directly from pupil’s classrooms. The blogs are updated regularly by staff and can be accessed on the website on these parent pages.
Blogs, Clubs and Timetables
The school website is also regularly updated and holds most of the day to day information that you may need, including: school routines, curriculum details, school news and pupil hubs. It is important that parents check the site regularly.
If you are a social media follower, please follow our Copthill pages and keep up to date with the quirkier side of school life on Facebook and Twitter and Instagram.
We send out regular information bulletins via ParentMail. We try and put as much information for each year group on the bulletin as possible. However, this does not eradicate the need for further emails during the week so we urge you to check regularly.
If your child is absent from school due to illness, please follow the procedure below:
Telephone the main school number (01780 757 506 Option 4) by 9.30am each day your child is absent and leave a message. Checks are made on all absences at 9.30am every day. If we have not heard from you by this time, we will text you to find out why your child is not in school.
On your child’s return, please send a letter or email to your child’s teacher explaining the reason for their absence.
We are legally required to record all reasons for absence in the school register. All absences without such explanation are recorded as unauthorised.
If your child needs to be absent from school, permission from the Headteacher, Mrs Helen Schofield, must be sought. Please send your absence request to firstname.lastname@example.org or in writing. We will respond by email to each request.
Matches / cancellations
If fixtures or clubs are cancelled for any reason, a text message is sent out to parents.
Any immediate notices will be displayed on the notice board outside each collection area.
